Letter Sample #46 – Letter to your manager to take time off work

GT Writing Task 1 (Letter Writing) Sample # 46

You should spend about 20 minutes on this task.

You are working for a company. You need to take some time off work and want to ask your manager about this.

Write a letter to your manager. In your letter:

  • explain why you want to take time off work
  • give details of the amount of time you need
  • suggest how your work could be covered while you are away

Write at least 150 words.

You do NOT need to write your own address.

Begin your letter as follows:

Model Answer 1:

Dear Mr Holmes,

I am writing to request a week off work at the beginning of next month. My sister lives in Canada and has become a mother for the first time and I, along with my parents, planned to give her a visit. I earned 10 days of paid vacation previous year which carries forward to this year and I would really appreciate your approval to use a week’s paid leave.

I am hoping to visit my sister and her newborn on 2nd March 2020, hence, a leave from the office from 2nd March to 8th March would be highly appreciated. I have talked to my teammates and they have agreed to share my responsibilities during my absence. I would be able to check important emails and perhaps reply to some of them during this time. According to our company’s leave policy, we are bound to take paid holidays; otherwise, they are cleared off every two years. Hence, I thought I should use the leave at a time when I need to travel to Canada and have less job pressure.

I understand the inconvenience my absence from the office might create. However, I am ready to work extra hours to compensate for my work once I return office.

I would really appreciate your approval for my leave. Thanks in advance.

Sample Answer 2:

Dear Mrs Rosaline,

I am writing this letter to request a few days of unpaid leave next month. I need this time off in order to celebrate a very special occasion. In fact, it is the 70th wedding anniversary of my grandparents, and all of my immediate family members, including me, want to celebrate this very special occasion together.

This celebration is due to take place on the 23rd of March, and I would need to be away from work for 3 days. Although the celebration is scheduled for the 23rd of March, I would like to request leave on the 22nd, 23rd and 24th of March to travel to my grandparents’ house and come back from there.

Fortunately, I do not really have a very busy work schedule at my office during that week apart from preparing some monthly financial reports on our ongoing construction projects. These reports are not that difficult to make, and Angela has offered her help to take care of those reports in my absence.

So, I would be very grateful if you could allow me to take these 3 days off as it means a lot for my grandparents to enjoy this special occasion with their favourite grandchild too.
